1. Background

What is the Grifols Medical Education grant process?

The Grifols Medical Education grant process is the process by which Grifols funds and supports independent medical education.

All Medical Education Grants must be requested through the Grifols Medical Education Department web site in order to separate educational and commercial activities. Sales and marketing departments are not involved in the submission, review, or approval processes of educational grants.

The Grifols Medical Education Department centralizes and enhances the collection, review and approval of medical education grant requests to help ensure efficient and proper approval of appropriate grant requests. Once a grant is submitted to the Medical Education Department, an internal Grant Review Committee reviews and approves or declines grant requests.

2. Compliance

Which guidelines and/or regulations does the Grifols Medical Education Department adhere to?

The Grifols grant approval process is in full accordance with the recommendations and the guidance of the Office of Inspector General (OIG), Pharmaceutical Research and Manufacturers of America (PhRMA), Advanced Medical Technology Association (AdvaMed), the Accreditation Council for Continuing Medical Education, and internal Grifols Compliance policies.

What if I cannot remember my Username or Password?

You may request to have your Username or Password emailed to your registered email address by clicking on the appropriate links provided on the login page.

4. Registration

Why was I prevented from registering?

Common reasons include:
  1. Some of the information entered as part of your registration was not valid - please see the error message and re-enter corrected information.
  2. You entered an email address or username during your registration that has already been registered with the Grifols Medical Education Grant Management System. Please choose a different username or email address.

    • If you have registered previously, please request that your username be emailed to you (see "What if I cannot remember my Username or Password?" above for details).


    • If you have not registered previously, please contact the Grifols Medical Education Department at 866-257-0272.
Why was I unable to login?

Common reasons include:

  1. Your account may have been disabled due to inactivity (define how long the profile is inactive before it gets disabled). Please re-register. Please contact the Grifols Medical Education Department at 866-257-0272 and request that your account be reactivated.
  2. Your account has been temporarily disabled due to repeated unsuccessful attempts to log in. Please wait 30 minutes before you try to log in again.
Who can apply for a grant?

The following types of organizations are eligible to submit requests for Grifols medical education grants funding:

  • Accredited Providers
  • Medical or Professional Associations
  • Community Health Centers
  • Patient Associations or Advocacy Groups
  • Universities or Colleges
  • Medical Education Companies
  • Other groups who have the potential to provide high-quality education

*Request for accredited activities must be submitted by an accredited provider, even if jointly sponsored by a Medical Education Communication Company.

Grifols is unable to accept funding requests from individual physicians or groups of physicians in private practice.

Does an organization have to be an accredited CME/CE provider to receive grant funding?

No. Grifols will consider grant requests for both accredited and non-accredited medical education; however, a preference will be given to accredited educational programs. Please note that requests for accredited activities may only be submitted by an accredited provider.

5. Medical Education Grant Request Process

What types of programs are considered for funding?

Grifols Medical Education is committed to supporting independent educational activities in specific therapeutic areas that foster increased understanding of scientific, clinical or healthcare issues, and that serve to improve patient care. All grants are awarded at Grifols's sole discretion. Approval of grant funding is never related to or conditioned upon past prescriptions or purchases of Grifols products. Furthermore, Grifols does not offer or provide educational grants to encourage or to reward the prescription, purchase, ordering, or recommending of Grifols products.

Grants are awarded to support medical education programs, scientific conferences, development of health care publications, and other legitimate educational and scientific activities. Grant proposals must identify specific projects or activities, or a series of programs that occur over a specified period of time for which funding is requested. Eligible grants may include:
  • Live educational programs that are advertised and open to a broad audience. A broad audience is defined as one which extends beyond the employees of a single institution or practice group. For example, staff physicians plus all physicians with visiting privileges at a hospital would likely constitute a broad audience. Similarly, a program open to all the members of a professional association is generally a sufficiently broad forum or audience for a grant
  • Educational publications and other types of enduring materials (e.g. CDRom/DVD, Printed Material, Website, etc.) that are available to a broad audience beyond employees of the requesting institution
  • Fellowships, residency programs or other programs with an emphasis on physician education
  • Programs from organizations whose mission is to improve patient care and health outcomes, such as Patient Support or Patient Advocacy Groups.
What items are generally not considered for funding through Grifols's Medical Education Department?

Grifols will NOT provide medical education grants for the following types of funding requests:
  • Grants to individual physicians or group practices
  • Grants that are intended to directly and commercially promote Grifols products
  • Funding for events or activities that have already occurred
  • Research grants, including Investigator Initiated Trials and Research Fellowships. For information on Investigator Initiated Trials, please contact Grifols's Global Medical Affairs at 714-246-4188
  • Charitable Contributions. Please contact your Grifols representative for questions regarding charitable contributions. If you seek funding for a charitable contribution exceeding $5000, you may contact the Grifols Foundation directly at https://grants.Grifols.com
  • Capital campaigns / building funds
  • Service contracts
  • Entertainment (e.g., holiday parties, recognition / retirement dinners, etc.)
  • Capital or operating expenses (e.g., office equipment, staff, computer hardware / software, medical library resources, etc.)
  • Grants that seek funding only for promotional exhibits or display space
  • Personal or practice development programs, unless such programs foster increased understanding of clinical, scientific, or healthcare issues
  • Travel fellowships
When are requests accepted?

Grant requests are accepted and approved throughout the entire year. Requests for grant funding must be submitted at least eight (8) weeks before the scheduled program start date.


What if my needs assessment, agenda, budget etc. do not fit into the allotted space?

You will have the opportunity to upload supporting documentation at the end of the Grant Request Form.

Can an organization submit materials or slides to Grifols for review of content?

No. Grifols is unable to review, comment on, or provide any other advice or guidance pertaining to the content of independent medical education.

What is a "Request for Additional Information" and how much time do I have to respond?

A Request for Additional Information is made when more information is needed to consider your grant request. The request will be sent via email. If the Grifols Medical Education Department has not received all necessary information within 10 business days of the follow-up request, the grant request will be declined.

Can I complete part of the online grant request and come back to it later?

Yes. If you are unable to complete your grant request in one sitting, you may save the request and come back to it later by clicking "Save & Continue Later" at the bottom of the page. At any time before the submission of a grant request, you will have the opportunity to come back and make changes to the request.

How long will it take for Grifols's Medical Education Department to review my grant request?

Review times vary from grant to grant. However, you must submit a grant request at least eight (8) weeks prior to the scheduled program date. Providing complete and accurate documentation may help minimize review time.

Please note that if you need a grant decision from Grifols before the start date of your program, you must submit your request 8 weeks in advance of when you would like to know the answer.

What information will I receive from Grifols's Medical Education Department about my request?

You will receive an acknowledgement email once the Grifols Medical Education Department has reviewed your completed grant application. After your request has been completely reviewed by Grifols's Grant Review Committee, Grifols will provide you a written response regarding your request. If your request is approved, the response will be accompanied by a Letter of Agreement, which must be signed and returned to the Grifols Medical Education Department prior to the activity date. Please do not consider any request approved until you have received written documentation from the Grifols Medical Education Department stating that your grant request has been approved.

How can I find the status of my grant request?

You can log in to the Web site to find the status of each request you have submitted.

Can I submit a grant request for support of a program that has already occurred?

Grifols will not review nor approve grant requests for programs that have already occurred. In order to ensure adequate processing time, organizations are urged to submit grant requests at least eight (8) weeks in advance of the program date.

6. Decision Process

What are the criteria used to determine the funding of Medical Education grant requests?

As general guidance, Grifols considers many factors including:
  • Educational objectives supported by independent needs analysis
  • Measurable learning objectives
  • Promotion of excellence in patient care
  • Compliance with Accredited Provider's guidelines related to content, venue, etc.
  • Rationale for educational format (live meeting, enduring material, etc.)
  • Education of the broadest healthcare professional target audience at appropriate, reasonable cost
7. After the Decision

When can we expect payment for the Grant Request?

Depending on the request, you can expect a check approximately one month after Grifols has received the signed Letter of Agreement. All parties must sign the Letter of Agreement in order for payment to be issued.

Can I begin work on the activity before I received the signed LOA?

No work on the program activity should commence until after you receive an approval notice from Grifols and Grifols receives a signed Letter of Agreement (LOA) signifying acceptance of the terms. Should an organization choose not to accept the terms of the LOA, Grifols reserves the right to withdraw approval of the grant. Should you incur expenses before receiving the signed LOA, Grifols is not financially responsible for these expenses. Payment for the grant award will be provided approximately 3 to 4 weeks after Grifols has received the signed LOA.

What if I have my own Letter of Agreement?

All programs supported by an Grifols medical education grant must abide by the Letter of Agreement issued by Grifols. If you have any questions on the agreement terms, please contact the Grifols Medical Education Department at 866-257-0272.

Can Grifols assist me in the supplemental distribution of invitations?

Yes, provided the invitations conform to Grifols's invitation requirements (below) and are approved in advance by Grifols's Grant Review Committee. However, Grifols cannot be the primary source of distribution for your program's invitations. If you indicated on your grant request that you would like Grifols to assist you with the supplemental distribution of invitations, please factor in the appropriate timing for grant approval, invitation approval, invitation printing, and distribution to sales force before you submit your grant request.

Does Grifols have additional requirements for the supplemental distribution of invitations?

Yes. The invitation must be approved and put into plain, sealed envelopes. Also, the invitation must include disclosure of Grifols's support.

What do I do if the scope of my activity changes, and I would like to request additional grant funding?

Requests for additional funding must be submitted and approved by Grifols before the activity commences. In order to request additional funds, please submit a new grant request and identify the following:
  • Reference to the original grant request
  • Reason for request for additional funding
  • Amount of additional funding
  • Updated, detailed budget
What is a reconciliation?

At the conclusion of your Grifols funded activity, grant recipients are required to submit information detailing the audience reach, use of funds, and other information to verify the grant award was used as intended. When the reconciliation is required, you will receive an email notification on the end date of your activity. If you do not submit reconciliation within 90 calendar days of the activity end date, you will be prevented from submitting any additional grant requests until the reconciliation is properly received. Grifols reserves the right to request receipts to support the actual budget line item being reconciled.

8. Miscellaneous

Can Grifols provide faculty or content suggestions for my activity?

The ACCME guidelines prohibit any suggestion by Grifols of faculty or program content for an accredited educational program.

My Grifols representative told me that my grant would be approved but the request was denied by the Medical Education Department, How can this happen?

No representative of Grifols, except Grifols Medical Education Department personnel, can communicate the approval of a medical education grant. You should not accept any verbal commitments from sales representatives, medical liaisons, or any other Grifols employee, as they are not authorized to make such a commitment. Please do not consider any grant request approved until you receive written confirmation from Grifols and a Letter of Agreement has been signed by all parties.

Does previous support of my activity by Grifols guarantee future support?

No. Each grant submitted to Grifols will be evaluated based on its individual merit. Please do not consider any grant request approved until you receive written confirmation from Grifols and a Letter of Agreement has been signed by all parties.

May I send the request directly to an Grifols representative or another contact at Grifols?

No. Grant requests must be submitted from the requesting institution through the Grifols Medical Education Department website at https://grants.Grifols.com. We are unable to accept requests for medical education grants submitted through other channels.

Will an Grifols representative be able to assist me with the application process or keep me apprised of my grant's status?

No. The Grifols Medical Education Department is available to answer questions related to the grant submission process and Grifols's policies. No other Grifols personnel may assist you with your request and only Medical Education Department personnel will be privy to information regarding the status of your request. Submission of your grant request by any Grifols personnel will lead to automatic rejection of your request.
